1. Information we collect

We collect information you give us directly and information collected automatically.

Information you provide

• Account information: name, email address, sign-in and verification records, and account preferences. Sign-in uses an emailed link; we do not ask you to create an HCB password.
• Business and sponsor information: business name, contact name, email, phone, mailing address, website, zone preferences, and any creative content or instructions you submit for your coloring page.
• Email update preferences: an adult’s email address, selected districts, digital-page or printed-edition interests, consent records, and campaign labels that identify how the signup reached us. Downloading a coloring sheet requires no signup.
• Payment information: billing details and card information are submitted directly to our payment processor (Stripe). We do not store full card numbers on our servers; we receive a transaction reference and limited metadata (such as the last four digits and brand of the card) from Stripe.
• Communications: messages you send to support or in forms on the site.

Information collected automatically

• Device and usage data: IP address, browser type, device identifiers, pages viewed, referring URLs, and timestamps.
• Cookies and similar technologies: session cookies used for authentication and basic site functionality. Your selected coloring sheets and analytics preference may be saved in your browser’s local storage.

We use Google Analytics, Microsoft Clarity and our own event records to understand visits and improve the public website. This includes pages viewed, buttons clicked, downloads, form success or errors, and anonymous session identifiers. Clarity provides masked session recordings and heatmaps on eligible public pages. We keep form entries, private account pages, sign-in links and payment screens out of recordings. Confirmed payment analytics can include an order amount and transaction reference, without your contact details. Optional analytics runs by default on eligible public pages for our US audience, including the home page, family pages and coloring library. You can turn it off using Privacy choices in the footer; we also honor Global Privacy Control. Turning it off stops new browser measurement and cancels unsent Google payment events linked to this browser. 2. How we use information

• To create and manage your account and authenticate you on the site.
• To process sponsorships, payments, refunds, and other transactions.
• To produce, print, and distribute coloring books, including generating coloring page artwork, preparing print files, and coordinating with printers and distributors.
• To communicate about orders, proofs, edition status, and customer support.
• To send service announcements and, where permitted, occasional updates about new editions or zones. You can opt out of marketing emails at any time.
• To prevent fraud, enforce our terms, and comply with legal obligations.
• To improve the site and our services.

3. How we share information

We share information only as described below.

• Service providers. We use trusted third parties to run the service. We share the information needed for the relevant service; provider handling is subject to applicable agreements and privacy policies. Current providers include:
  • Stripe — payment processing
  • Convex Auth — authentication and account management
  • Convex — database and backend infrastructure
  • Netlify — website hosting
  • Google and OpenAI — AI-assisted artwork tools
  • Resend and Zoho — transactional email, business email and support
  • Google Analytics and Microsoft Clarity — optional analytics on eligible public pages
  • Printers and mail/distribution partners — book production and delivery
• Legal and safety. We may disclose information if required by law, subpoena, or to protect the rights, property, or safety of Hometown Coloring Book, our users, or others.
• Business transfers. If we are involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.
• With your consent. Any other sharing will be done with your permission.

4. Data retention

We retain personal information only as long as needed for the purposes described above, to comply with legal and tax obligations, to resolve disputes, and to enforce our agreements. Order records include the accepted terms, approval history, payment references and fulfillment evidence needed to provide the service and resolve disputes. Security and abuse prevention may use a derived network identifier to limit requests. We review retention when handling deletion requests and keep only records still needed for a stated purpose or legal obligation; deletion from backups follows their retention cycle.

5. Security

We use reasonable administrative, technical, and physical safeguards to protect your information, including encryption in transit (HTTPS/TLS), access controls, and reliance on reputable infrastructure providers. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

6. Your choices and rights

• Access, correction, and deletion. You can request a copy of the personal information we hold about you, ask us to correct inaccuracies, or ask us to delete it, subject to legal exceptions (for example, records we must keep for tax or fraud-prevention reasons).
• Marketing emails. You can unsubscribe using the link in any marketing email. Transactional messages (order confirmations, receipts, proofs) will continue.
• Cookies. Most browsers let you block or delete cookies; doing so may affect site functionality, including login.
• State-specific rights. Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act (CCPA). To exercise any of these rights, contact us using the information below.

7. Children

Adults arrange sponsorships, printed-book distribution, and email subscriptions. The digital coloring sheets are made for families. Our signup forms require adult consent, and we do not request children’s names, email addresses, or other personal details. This website is intended for adults choosing coloring pages for their families, classrooms or businesses. Forms and purchases are for adults; children should use the coloring downloads with an adult and should not submit personal information. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will review the report and remove information we should not retain, subject to applicable legal requirements.

8. International users

Hometown Coloring Book is operated from the United States and our service providers may process information in the United States and other countries. By using the site, you understand that your information may be processed in jurisdictions with data-protection laws different from those of your country.

9. Third-party links

The site may link to third-party websites (sponsor websites, social media, etc.). We are not responsible for the privacy practices of those sites. Review their policies before providing information.

10. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes we will update the “Effective” date above and, where appropriate, notify you by email or through the site. Continued use after changes take effect means you accept the updated policy.
